Cosy Place Holdings Ltd (“Cosy Place”, “we”, “us”) respects your privacy. This policy explains, in plain terms, what personal data we collect, why, and what rights you have under GDPR and applicable Cyprus and Greek law.

1. Who we are

Cosy Place Holdings Ltd is a Cyprus-registered company (HE454257, Agia Filaxeos 86, Limassol), also operating in Greece through a registered branch. We are the “controller” of your personal data, and our lead supervisory authority is the Cyprus Office of the Commissioner for Personal Data Protection (Section 6).

2. What we collect and why

We collect only the data needed for the reason you're in touch with us: if you submit our website contact form, your name, email, and message, to reply to you. If you become a tenant, vendor, or supplier, the contact, identification, and payment details needed to manage that relationship and meet our legal accounting obligations. If you're a prospective supplier or a business contact of our management, your name and contact details, to manage that relationship. We rely on your contract with us, our legal obligations, or our legitimate interest in running the business — and we never use your data for automated decision-making or profiling.

3. How long we keep it

We keep enquiries that don't lead to a relationship for around 12 months. Tenant, vendor, and supplier records are kept for the relationship's duration plus 7 years. Other business contacts are reviewed periodically and removed once no longer relevant.

4. Who we share it with

We don't sell your data. We share it only where needed to run the business: with Microsoft (email and document storage, within the EU/EEA), Squarespace (our website host, US-based, under the EU–U.S. Data Privacy Framework), our accountants (Cyprus-based), and AI-assisted tools we use for drafting and admin (US-based, under EU Standard Contractual Clauses, and contractually barred from training on our data). Any transfer outside the EU/EEA is covered by one of these safeguards.

5. Your rights

You can ask us to access, correct, delete, or restrict the use of your data, or to provide a copy of it, subject to our legal retention obligations (Section 3). Contact us below and we'll respond within a month.

You can also complain to the Cyprus Office of the Commissioner for Personal Data Protection, or the Hellenic Data Protection Authority if you are based in Greece.
